Medical Transcription process

• Capture doctor's and other healthcare professional's dictation using Dictaphone or toll free dial in server.
• The recorded dictation is stored as a voice file and uploaded in to our FTP server .
• Our dictation systems are available at 24x7 access and allows you to dictate from anywhere, at anytime using a touch-tone phone or cell phone.
• The dictations are then converted to digital format and stored in our secure web server.
• These dictation files are then handed over to our medical transcriptionist, who interprets and transcribes the dictation in to document (text) files.
• Our Medical transcriptionists use transcribing machines with a headset and foot pedal, listen to voice recordings of doctors or other healthcare professionals and then convert voice recordings in to text format.
• The completed files are sent right back to you by e-mail or directly uploaded in our FTP server from which it can be downloaded.

Quality assurance

Before sending the transcripts to you, the transcribed documents are sent to our experienced editors in the quality assurance team. They check out the document word by word for any spelling and grammar mistakes, missed text etc. A three level quality check is undergone before the transcribed document is sent to you.

Delivery Model

We receive your dictation, transcribe it in to document files and send right back to you by electronic mail or directly store it in our server which can be downloaded by your staffs for any number of times. You can get your transcriptions in any format as per your requirements like in word perfect, PDF formats. You can also get the details of each patient as a separate document which will be emailed to you.

The documents of your transcriptions will be in our server for a period of 60 days. Every transcription stored in our server is based on 'date of dictation' and 'date of service'. You can download your respective transcriptions and dictations from our server.

Data Security

We concentrate highly on security measures when your dictation is send to our servers, when our administrators download the dictations from our dial in servers and FTP servers, and when we send the completed documents back to you. During this process, 128 SSL encryption of data and 256 AES encryption of data are undergone. We zip the e mail attachment of your document we send you with your password for security measures.
